MCLE Accreditation Assistant & Accounts Payable Coordinator

Summary:

Provide regulatory and related services to members of the Utah State Bar, CLE providers, and the public. Responsible for assisting Accreditation Specialist with the accreditation process and will provide administrative support in compliance with all applicable regulations.

Process accounts payable as a member of the finance team using SAP Concur and QuickBooks.

Responsibilities:

Analyze CLE courses and other accreditation requests (paper and electronic) from sponsors and attorneys to correctly determine the appropriate number of continuing legal education hours.

Approve online sponsor applications and attendance in the provider portal and provide assistance with any issues sponsors may incur with entering approved courses and attendance into the database.

Provide clear written explanations to sponsors and attorneys for rejected courses or those returned due to incomplete information.

Communicate with sponsors regarding the Mandatory Continuing Legal Education Rules that have been put in place by the Utah Supreme. Respond to calls and e-mails from course sponsors, attorneys, and others regarding course approval, procedural and website questions.

Accounts Payable Responsibilities:

Review and process supplier invoices, credit card statements and employee/attorney expense reimbursements; determine proper account/department coding; ensure appropriate approvals are obtained; and enter data in accounting system for semi-monthly accounts payable runs.

For expense reimbursements, calculate mileage and per diem rates in compliance with current regulations and ensure that proper back-up documentation and/or receipts are provided. Maintain and set up new vendor accounts, including maintenance and assistance with annual processing of 1099’s and ensuring supplier W-9 form submissions.

Communicate with internal customers and external suppliers regarding cash disbursement questions/issues.

Address inquiries from vendors, Bar members, Bar management and leadership regarding payment status and other accounting-related questions. Serve as backup to the Finance Director as needed.

Other Responsibilities:

Assist with licensing activity and questions during the annual license renewal process and throughout the year as needed. Serve as backup to the Licensing Administrator or Receptionist, if needed.

Identify opportunities for process improvements including internal controls, forms, procedures, policies and systems.

Provide information to support requests from external auditors. Participate in ad-hoc reporting for special projects.

Ensure compliance with company policies and procedures, generally accepted accounting principles and regulatory requirements.

Qualifications:

· Competency in Microsoft applications including Word, Excel and Outlook.

· QuickBooks and accounts payable experience preferred.

· Ability to provide professional customer service in a fast-paced environment.

· Accurate data entry skills.

· Excellent verbal and written communication skills.

· Experience with basic office hardware such as scanners, copiers, etc.

· Problem solving skills.

· Demonstrate a strong work ethic and dependability.

Ethics Counsel

The Utah State Bar is seeking an Ethics Counsel to manage the Bar’s Ethics Hotline. The Bar’s Ethics Counsel serves in the Office of General Counsel and 1) provides informal ethics advice to licensed Utah lawyers and Licensed Paralegal Practitioners (LPPs), 2) staffs the Utah State Bar’s Ethics Advisory Opinion Committee (EAOC), and 3) serves as a staff liaison to the Supreme Court’s Rules of Professional Conduct Committee. The Ethics Counsel also provides regular education and guidance on ethical issues affecting Utah lawyers and LPPs. Excellent public speaking, writing, and interpersonal skills are essential to this job.

General Description of Duties

  1. Provide ethical guidance to Utah licensed lawyers and LPPs who submit ethics questions to the Bar’s Ethics Hotline.
  2. Work with General Counsel to staff the Bar’s Rules of Professional Conduct Committee.
  3. Staff the Utah State Bar’s Ethics Advisory Opinion Committee.
  4. Provide guidance on relevant and timely issues, business practices, technology, succession planning, and other practice requirements that implicate the Rules of Professional Conduct.
  5. Create and present ethics CLEs.
  6. Draft occasional Bar Journal articles and blog posts on relevant ethics topics.
  7. Remain up to date on all relevant issues that affect the practice of law, including regulatory reform efforts, the Rules of Professional Conduct, applicable legislative updates, and technological advancements. Issue relevant updates and guidance to Bar members on a regular basis.
  8. Collaborate with Communications Director on how to advertise information about Bar ethics services for lawyers.

Requirements

Utah attorneys and Licensed Paralegal Practitioners (LPPs) with questions regarding their professional responsibilities can contact the Utah State Bar for informal guidance during any business day.  The Ethics Hotline is a resource for Utah lawyers and LPPs only. All ethics advice is non-binding and intended only to be informational.

The Ethics Hotline advises only on the inquiring lawyer’s or LPP’s own prospective conduct. The Ethics Hotline does not address legal issues, or past conduct, nor does it provide an opinion or advice about the conduct of anyone other than the inquiring lawyer or LPP. The Ethics Hotline cannot convey advice through a paralegal or other assistant. The guidance provided is informal advice and attorneys and LPPs are urged to read the rules and exercise their own judgement.
